Terms & Responsibility on Nepal Tour

All passport has to be a minimum validity of 06 months from the date of entry.

Nepal visa will get on arrival at Kathmandu international airport 

  • a: If the stay in Nepal does not exceed 15 days, the multiple Nepal visa cost 30. US $
  • b: If the stay in Nepal does not exceed 30 days, the multiple Nepal visa cost 50. US $

For any reservation, kindly provide us with color passport scanned copy of all clients in PDF/JPG format to obtain the necessary trip permit, (digital color photo for Trekking), arrival/departure flights (with PNR), additional services required, to authorize to make the prepayment of the deposit to concern hotels/airlines. 

Full payment should reach us one month prior to the tour date with a swift payment advice copy, unless full payment for the tour is not received, the tour shall not be entertained on a 100% confirmed basis. 

Please specify always the trip name using the above titles used by us and not those used by you in your catalog.

A USD 5 per person supplement fee will apply if the flight's arrival time will be between 8 PM to 6 AM.

Airfares and Baggage allowance:

Above mentioned airfares and flight schedules are subject to change without prior notice until the day of issuance, and unless we transmit a confirmation to you.

Domestic flight baggage allowance in Nepal, Tibet, and Bhutan:

On departures: 01 pieces maximum of 20 Kg per person, Hand luggage: 01 piece maximum 07 Kg.

In case of diversion or lost luggage, the travelers themselves have to go to an airport and go through customs to retrieve it (it is not like in your country where the flight carrier will deliver it to the passenger’s address). The recovery cost of the diverted luggage is not included in the tour price. Hence, Sampurna Adventure provides this service to its clients for a modest price of USD 25 net per case, and it has to pay directly at the moment.

Check-in at 1400 hours / Check-out at all the hotels at 1200 hours. Early check-in / late check-out may be granted until 02:00 PM which is subject to availability or may charge as per hotel rules, 

Between 02:00 to 04:00 PM will charge 50% of the room rate and after 04:00 PM will charge the full room rate.

The hotels mentioned above only indicate that our rates are based on the use of these hotels. Accommodation should not be construed as taking place in these hotels until and unless we transmit a confirmation to you. In case any of the above-mentioned hotels are not available we will book alternative accommodation at a similar or next best available hotel and we will pass on to you the cost of difference (supplement/reduction whatever the case).

Extensions of Hotel/Stay

Should any clients/guests wish to extend their stay beyond the period originally booked and confirmed, we will apply the best available cost unless the extension was channeled through the Client/Agency at least one (1) day before the original check-out date. The request for the extension of accommodation will be always subject to availability.

CHILDREN POLICY

Children up to 5 (five) years are entitled to a complimentary stay on sharing the bed.

For above 5+ (five) years and up to 10 (Ten) years of age, 50% of the cost will be applicable:

Children above 10+ (Ten) years will be charged adult rates as mentioned above. 

The Xmas and New Year’s Eve Dinner are mandatory as per hotel rules so the applicable supplement dinner charge will be informed to you in advance. 

As per the government regulations, the safari in Chitwan National Park will perform respecting the environment outside the limits of the Natural Park.

Due to animal rights, Elephant safari is not in practice in many resorts in Chitwan, you are requested to confirm it before booking. Elephant Safari/Canoe rides in the Chitwan National Park are usually sharing basis.

As it is no other language-speaking country except Nepali & English, there are a limited number of other languages speaking people, so the airport/hotel/airport transfers will always be with English-speaking representatives and occasionally on arrival would provide our representative who speaks your language.

Itinerary planning is always done in an estimative way since it depends on the circumstances and meteorological conditions etc. it may be modified according to the needs and eventualities that may arise. 

Sampurna Adventure reserves the right to modify an itinerary, only if it is essential, for a better service and organization for the benefit of the contracting activity.

Due to if by coincidence with holidays, closure of daily, weekly, or any other factors, visit internal access to the museums and some monuments are not guaranteed during sightseeing/tour.  

Change of itinerary is not entertained once the itinerary is finalized and agreed upon by both parties.

Once the tour/trekking starts, finishes, or incompletes before the scheduled date, the services not used will not be refundable, with no exceptions of any kind.

For any additional/extra day accommodation, activities, and service except in the itinerary during the trip must be paid for by the guests directly. If in any case, the agent wishes to extend a partial or complete credit, please send us a request in writing, and issue a separate voucher for this concept. 

All agreements regarding accommodation, transportation, and visits related to the trip will be made by SAMPURNA as travel agents, under the below condition that it will not be responsible for any damage, injury, loss of personal belongings, accident, or irregularity that could cause by person or company employed in the operation of the excursion.

Drones: Carrying and flying drones are prohibited in Nepal, Tibet & Bhutan, if anyone violates these regulations the police may take you into custody.

In case of any changes in government taxes policy (currently 13% VAT and 10% service charge), entrance fee or supplementary charges by the Government of Nepal, or any additional levies of tax imported by law, the same will be borne by the Client.

We are an active member of the Nepal Association of Tour & Travel Agents (NATTA), Trekking Agencies Association of Nepal (TAAN), and Nepal Mountaineering Association (NMA) and are licensed by the

Government of Nepal, Department of Tourism.

NO SHOW / CANCELLATION CONDITIONS OF THE NEPAL, TIBET, AND BHUTAN TOUR/TRAVEL:

1) There shall be No Show / Cancellation charges on any tour booked as follows:

• Within 30 days from the date of arrival: no charges 

• Within 21 days from the date of arrival: 15% of the cost

• Within 14 days from the date of arrival: 25% of the cost

• Within 07 days from the date of arrival: 50% of the cost

• Less than 7 days from the arrival date: 75% of the price 

• Cancellation made on the day of arrival or in case of No Show or after arrival in destination charges 100% to the entire trip cost plus applicable taxes. 

2) The charges will be as follows both on tours and air tickets.

• Once the ticket is issued, it will not be subject to refund or change of the passenger's name.

• It can be reused within the same calendar year if the same passenger is traveling in the same sector.
